Connected email accounts (Google and Microsoft)
If a company connects its Google Workspace, Gmail, Microsoft 365 or Outlook account to the CRM, we ask only for permission to send email on its behalf and to read the account’s email address. We never read, store or delete messages in the mailbox. Access tokens are encrypted and used only to send the emails the company starts or schedules in the CRM. A record of each sent email (date, recipient, subject, status) is kept in the CRM’s sent log. The company can disconnect at any time from Settings › Email, or revoke access from its Google or Microsoft account. Signalball’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not sell this data, use it for advertising, or use it to train AI models.
1. Data we collect
- Website enquiries. When you use the "Talk to an Expert" form we collect your name, company, business email, phone number, the products you are interested in and your message.
- Client Portal accounts. For invited users we keep name, business email, company, role, login and security events (date, time, IP address, device type), documents shared with you and the requests you open.
- Business relationship data. For prospects, clients and partners we keep business contact details, communication history, meetings, offers, contracts and invoicing information. This data may come from you, from your company, from partners who introduce you, or from public business sources.
- Product demonstrations. If you take part in a live demonstration of our voice products, the conversation may be processed in real time to run the demonstration.
- Billing. Invoices and payments are managed in our accounting system (QuickBooks Online). Our business systems read invoice and payment status from it to manage contracts.
- Browser storage. We use only strictly necessary browser storage to remember your language and privacy choices and to keep you signed in. Optional analytics are not active.
We do not sell personal data and we do not use it for automated decisions that have legal effects on you.
2. Why we use it
- To answer enquiries and provide information on our products.
- To set up, secure and operate Client Portal accounts and the services you have contracted.
- To manage the commercial relationship: offers, contracts, invoicing, payments and support.
- To keep our systems secure, prevent misuse and keep an audit trail.
- To meet legal, tax and accounting obligations.
We rely on your request or our contract with you or your company, on our legitimate interest in running and protecting our business, and on legal obligations. Where consent is required, we ask for it and you can withdraw it at any time.
3. Who we share it with
Only with service providers that help us run our services, under confidentiality and data protection obligations: hosting and cloud infrastructure, email delivery, accounting (Intuit QuickBooks Online) and, for live demonstrations, voice and speech processing providers. We may also share data with professional advisers or authorities when the law requires it. Some providers may process data outside the United Arab Emirates; in that case we use appropriate safeguards.
4. Security
Access is limited by role and verified on our servers. Passwords are stored only as one-way hashes, access tokens are stored encrypted, connections are protected with HTTPS and every access and change is logged.
5. How long we keep it
We keep data for as long as needed for the purposes above: enquiries and prospect data for up to 3 years after the last contact, client and contract data for the duration of the relationship plus the period required by tax and accounting law, security logs for up to 12 months, unless a longer period is required by law.
6. Your rights
Depending on the law that applies to you (including UAE Federal Decree-Law No. 45 of 2021 and, for people in the European Union, the GDPR), you can ask to access, correct or delete your data, to restrict or object to its use, and to receive a copy. You can also ask us not to contact you. Write to info@signalballdmcc.com; we reply within 30 days. You may also contact the competent data protection authority.
7. Changes
We may update this policy. The date at the top shows the latest version.
